Sourcing & Production Coordinator
The Role
The Sourcing & Production Coordinator supports the full product lifecycle, partnering closely with internal teams and global vendor partners to ensure smooth product development and production execution.
This is a hands-on, detail-oriented role ideal for someone with 2–4 years of experience in sourcing, production, or product development within consumer goods, hard goods, fashion, or accessories.
You thrive on organization, process improvement, trackers, and spreadsheets that help bring amazing products to life. You'll work directly with samples, production timelines, purchase orders, logistics partners, and vendor communications to ensure nothing slips through the cracks.
What You'll Do
Sourcing & Vendor Support

Provide administrative and operational support to the Sourcing and Product Development teams.

Assist with process documentation, calendar management, and continuous improvement initiatives.

Manage incoming and outgoing samples with factories and collaboration partners.

Maintain the sample room and track vendor submissions, including:

Fabric and material color approvals

Development samples
-
Bulk production samples
-
Photoshoot samples
-

Prepare samples for internal cross-functional reviews.
-
Partner with the Sourcing and Product Development teams to meet weekly deliverables and support new initiatives.

Support factory sourcing and price negotiation efforts through communication and administrative coordination.

Gather and coordinate vendor invoices related to production samples, bulk production, and shipping.

Maintain vendor contact lists and records of factory audits.
Production Coordination

Generate UPC codes, carton stickers, carton markings, and polybag labels as needed.

Create purchase orders and review them with appropriate sourcing team members.

Maintain the accuracy and integrity of production data, including SKUs and UPCs.

Update and manage purchase order revisions within internal systems.

Learn the end-to-end bulk production process through active management and tracking of sample workflows.

Review packaging details and verify tracking codes, UPCs, and labeling accuracy.
Logistics & Delivery Support

Coordinate container bookings through third-party logistics systems.
-
Import and transmit ASNs (Advanced Shipping Notices) into internal warehouse systems.
-
Monitor container movements and vessel bookings from factory departure (ETD) through arrival at U.S. ports (ETA).

Ensure open units are reconciled on time to prevent discrepancies in financial reporting.

Manage vendor submission of shipping documentation, including Commercial Invoices (CI) and Packing Lists (PL).

What We're Looking For

2–4 years of experience in sourcing, production, product development, or related functions (consumer hard goods and accessories preferred).

Logistics experience is a plus.

Proficiency with leading AI tools to improve processes, drive efficiency, and support scaling efforts.

Basic understanding of product construction, materials, and manufacturing processes.

Exceptional organizational skills and attention to detail.

Ability to manage multiple projects, timelines, and priorities simultaneously.

Strong written communication skills, especially when working with vendors and external partners.

Proficiency in Excel and/or Google Sheets; ERP experience (NetSuite preferred) is a plus.

A proactive, solutions-oriented mindset and comfort working in a fast-paced environment.
